1. Identify the food order and stage
Provide the purchase order, products, quantities, manufacturer location, contact and production status. Agree the readiness requirements and booking with any inspection provider.
2. Use the approved specification
Provide the recipe or grade, pack format, label artwork, storage instructions and sample approval record. Resolve conflicting versions before checks begin.
3. Set product and packing checks
Agree checks for quantities, pack integrity, lot codes, label versions, carton markings and storage conditions. Define measurements and acceptance criteria for the actual product and order.
4. Agree sampling and limitations
Ask the provider to explain the sampling plan and what it covers. Sampling examines part of a lot; it does not establish that every item was checked or guarantee a defect-free shipment.
5. Review tests and batch documents separately
A visual inspection does not replace laboratory tests, food safety evidence or destination-specific requirements. Identify the required reports, responsible providers and whether results must be available before release.
6. Confirm the report and release authority
Agree the report, photographs, results and unresolved questions. Name the person who reviews the evidence and authorizes shipment. Booking an inspection is not shipment approval.
7. Resolve failed or incomplete checks
Record the affected product and evidence, then agree the manufacturer response and any further checks. Corrective action, costs, timing and remedies follow the written order and service terms.
8. Keep the shipment record
Retain the specification, sample and artwork approvals, agreed test documents, inspection report and release decision with the packing list and shipping documents. Include temperature-related records where required by the agreed plan.
